Our Agreement With You

We are tramondoo UG (haftungsbeschränkt) and Our Agreement with You sets out what you are legally entitled to expect from us and our suppliers (service provider for whom we act as a booking agent) when you purchase travel services through us. Because we sell a variety of travel products, you should make sure you understand the terms and conditions which apply to your particular arrangements in addition to these general terms and conditions.

Your Travel Booking

Your travel products will booked by us on your behalf with various suppliers. Each supplier may have their own terms & conditions applying to your travel. It is important that you read the relevant & corresponding product information and policies for each of your bookings in order to understand all applicable terms & conditions.

A contract will exist as soon as we issue our confirmation invoice or as soon as you make a binding booking request.

Tramondoo acts as the Booking Agent for your suppliers. The travel services are offered as separate elements rather than as a combination. Each are priced individually. If you select some of these services then you are not purchasing a package arranged by tramondoo, even when selecting multiple products. Your contract is with that supplier and not with tramondoo. Therefore, the booking conditions of that supplier will apply to your booking and tramondoo UG accepts no responsibility for any errors or omissions made by a supplier.

Note that suppliers' product information is uploaded automatically as entered by the suppliers and related booking systems. In this matter, we cannot guarantee the contents' accuracy, completeness or topicality. We therefore recommend that you contact the supplier for further clarification if you require additional information to that contained on the product page.

When you make a booking, you guarantee that as the lead name, you have the authority to accept and do accept, on behalf of your party, the terms of these booking conditions and those of any suppliers. It is your responsibility to ensure that all of the details on your travel documents are correct and to bring to our attention any errors or discrepancies immediately.

Deposits, Payment and Prices

Payment of a deposit enables tramondoo to hold a reservation for you but does not guarantee the price. The price can only be guaranteed once we receive full payment and tickets and/or other travel documents have been issued. Accordingly, the price of your travel is subject to change until such time as you pay for the travel in full. tramondoo will advise you of the date that full payment is required. All prices shown are 'from prices' and we and the suppliers reserve the right to alter the prices. You will be advised of the current price of the holiday that you wish to book before your contract is confirmed.

We may charge you a handling fee for all types of payment methods, as advertised. No charge is made for national direct transfers. We reserve the right to refuse personal cheques as a method of payment. After full payment, the conditions of the contract with your supplier may permit them to increase the cost of your arrangements. We will pass on any such increase to you.

Price beat guarantee applies only to initial quotes that contains at least two products. We may refuse to match or beat the price at any time without stating a reason.

We reserve the right to cancel your booking if the price or any other info was not correct at time of booking. Potential error fare bookings will be cancelled as soon as we notice. You will receive a full refund and no additional compensation.

Booking Confirmations

Your responsibilities:

It is your responsibility to check with the supplier that any booked product is operating as booked. We strongly recommend that you contact your supplier 72 hours before the scheduled departure of each flight to do this. Pease note that for most products you must reconfirm all booked dates 48 hours prior to travel (minimum guide only) or in the manner stated on your voucher mandatory to confirm with them your intention to travel or check-in. If applicable, dietary requirements, body weight, pick-up location or other required information should also be confirmed at this time.

Open dated tickets: You must book your travel dates in advance with the individual supplier as per details provided on your voucher. Note that bookings are subject to availability. We must not be held liable for open dated vouchers that cannot be booked due to errors at time of booking, lack of availability, changes of supplier’s terms and conditions or other reasons outside of tramondoo’s responsibility.

Tickets with booked dates: It is your responsibility to ensure you redeem your tickets on the dates booked. If you wish to change these dates you must organise it with the supplier directly, with adequate notice.

Cancellations and Refunds

Your contract with your suppliers may allow them to cancel or amend bookings. We will ensure that you are promptly notified of any significant changes, but accept no liability for any changes or costs incurred which may result.

If we make a significant change to your booking, we will inform you as soon as reasonably possible if there is time before your departure.

Deposits and handling fees (such as credit card or other fees for any other payment method) and admin or booking fees paid to us not transferable or refundable. Even if you have not been charged any fee at time of booking, but your booked product is cancelled either by you or the supplier, we may charge you the fees that applied to us at time of booking.

If you cancel your travel, you must pay us a fee of up to 50% of the value of the travel that was booked on your behalf and cancelled ("Cancellation Fee").

In addition, if a supplier charges us for the cancelled travel you must also pay us the amount that we are charged on your behalf by the supplier. It is therefore possible your cancellation fees could be up to 100% of the cost of the booking, regardless of whether travel has commenced (for example cancellations made within 24hrs of travel or certain flight bookings).

The Cancellation Fee will apply in all cases where a tour is able to run. For example, if you are unable to reach a tour due to a reason behind your control. These include: a road is cut off due to flooding, war, threat of war, riots, civil disturbances, terrorist activity, industrial disputes, natural and nuclear disasters, fire, epidemics, health risks, changes due to rescheduling or cancellation of flights by an airline or alteration of the airline or aircraft type; closed or congested airports or ports, hurricanes and other actual or potential severe weather conditions, and any other similar event.

The normal Cancellation Fee will apply if the tour still runs in your absence or would have run but for your absence.

If a tour or other travel service is cancelled by the supplier, we will refund you the amount paid for the tour or other travel service less a 10% administration fee ("Admin Fee").

The 10% Admin Fee does not apply to: Dive Courses where you fail a Dive Medical test; or Skydives cancelled by the Service Provider within 3 days of booking due to weather, and a full refund will apply.

Flight & bus bookings will, in many cases, incur a 100% cancellation fee.

Where a refund or other payment applies, you may choose to transfer the whole cost of the tour (less any operator cancellation charges) to another tour. However, we may charge you a transfer fee of $30.

Whilst we normally attempt to process refunds swiftly, situations (such as natural disasters) may result in up to 30 days processing time, due to high volume.

Travel Insurance

Travel insurance is a vital part of your arrangements. We endorse the recommendation of the Department of Foreign Affairs and Trade that all travellers take out adequate travel insurance for the duration of your journey. It is your personal responsibility to purchase your own travel insurance to cover any liability which may be incurred to us or a supplier and other travel misadventures that you wish to be insured against.

Travel insurance is a mandatory element of some travel arrangements. We recommend that you source travel insurance with a low excess payment, to make claiming on cancelled tours worthwhile.

Travel Advice and Vaccinations

German citizens should refer to the travel advice posted by the Auswärtiges Amt at https://www.auswaertiges-amt.de/de/ for all the countries you intend to visit. Vaccinations may be required for some or all of the places you are intending to visit. It is your responsibility to ensure that you have arranged necessary vaccinations for your itinerary. Citizens from other countries should refer to their Ministery of Foreign Affair for travel advice.

Suppliers

We endeavour to package tours that will meet your expectations. However, we take no responsibility for any matters that arise with regard to or during individual tours or arrangements with individual suppliers.

We appreciate your feedback, whether complaints, compliments or suggestions. However, to the extent permitted by law we will not be responsible to you for any loss, expense or damage that you may suffer during any particular tour, accommodation or travel, no matter the cause. These matters are the responsibility of each individual supplier and you agree that you will not hold us liable in any such circumstance.

Extra Costs

Many tours have extra costs and you should be aware that there may be added expenses. These expenses will differ for each supplier but some of the more usual extras are: EMC Tax, Stinger suit Hire, Luggage storage, Sleeping Bag Hire, Linen Hire, National Park Fee, Food, Insurance, Accommodation, Equipment Hire, Petrol Levy.

We will alert you to extra costs to the extent reasonably practicable. However, you must also check with each individual supplier when you confirm your ticket.

Documentation

Tramondoo’s general practice is to send documents to our customers electronically whenever possible. We reserve the right to charge an administration fee should you make a request for such documents to be sent as hard copy. It is your responsibility to contact us if you have not received the vouchers.

Baggage

Baggage allowance and policies differ by supplier. Some suppliers, such as tour providers, do not provide a free baggage allowance and will charge additional fees for baggage. If you require specific information about baggage allowance, or require further information, please contact us before you book.

Passports & Visas

It is your responsibility to ensure that you have valid passports, visas and re-entry permits which meet the requirements of immigration and other government authorities. It is your responsibility to fulfill the passport, visa and other immigration requirements applicable to your itinerary. You should confirm these with the relevant High Commissions, embassies and/or consulates. We do not accept any responsibility in the case of you being unable to travel due to not complying with any such requirements.

Our Responsibility for your Arrangements

We have taken all reasonable care to make sure that all the services that make up the arrangements made by tramondoo are provided by efficient and reputable businesses. These businesses should follow the local and national laws and regulations of the country where they are provided. However, please be aware that overseas safety standards may be lower than in Germany.

As a Booking Agent, tramondoo will not be liable for if the contract you have with your supplier is improperly performed the supplier. In that case, we recommend to contact your travel supplier to request an appropriate compensation if has affected the enjoyment of your travel arrangements. We will further not be liable where any failure in the performance of the contract is due to: you; or a third party unconnected with the provision of the travel arrangements and where the failure is unforeseeable or unavoidable; or unusual or unforeseeable circumstances beyond our control, the consequences of which could not have been avoided even if all due care had been exercised; or an event which we or our suppliers, even with all due care, could not foresee or forestall.

Your Agreement With Us

By finalising your arrangements with us, you are accepting that the terms of this Agreement and conditions of any contract made with any supplier(s)) apply to your booking and your travel arrangements. You also consent to our processing personal information about you and other members of your party. Your contract with us is subject to the laws and jurisdiction of Germany. Your travel documents are valuable and should be safeguarded as if they were cash. It is not always possible to replace travel documents in the case of loss, theft, damage etc.
